WHAT INFORMATION DO WE PROCESS AND WHERE DO WE OBTAIN THE INFORMATION?

We process the following personal data necessary for our corporate and consumer customers and partners: name, address, telephone number and email address. In addition, the following personal data is processed for the purpose of providing accommodation services: personal identity code or, in the absence thereof, date of birth, nationality and, if applicable, travel document (passport or identity card) number.

Customer feedback information or, with the express consent of the data subject, photographic and video material may also be attached to the register data.

 

We receive information mainly from customers themselves or, in the case of potential customers, from publicly available sources.

We collect information about visitors to our websites using cookies. Cookies are small files that your device receives and sends when you visit our website. A cookie usually contains an anonymous identification number and does not harm your device (for example, a computer, smartphone or tablet). When you visit our LinkedIn website, personal data is processed in accordance with this privacy policy and the LinkedIn privacy policy.

FOR WHAT PURPOSES DO WE USE THE DATA AND WHAT IS THE BASIS FOR THE PROCESSING?

We process the personal data of our consumer customers, business customers’ contact persons and partners to fulfill the assignment, to keep in touch with our customers and to invoice for our services and to fulfill our other obligations related to our products and services.

The data is also used for marketing our services and developing our business. We process the data of our potential customers to market our services. In this case, the basis for processing personal data is our legitimate interest in carrying out marketing.

 

HOW LONG DO WE KEEP DATA?

We process the personal data of our consumer customers, business customers’ contact persons and partners for the duration of the contractual relationship and for ten (10) years after its termination to the extent necessary to fulfill the contractual relationship and our contractual obligations and statutory obligations.

 

We process the personal data of potential customers for the time being until they become our customers, and otherwise for two (2) years, unless the person requests that their data be deleted before then.

 

DO WE TRANSFER AND DISCLOSE YOUR PERSONAL DATA TO THIRD PARTIES?

Your personal data may be disclosed to our partners for necessary functions, such as data storage.

 

DO WE TRANSFER YOUR PERSONAL DATA OUTSIDE THE EU AND EEA?

When providing our services, we may use resources and servers located in different parts of the world. We may therefore transfer your personal data outside the country where the services are used and possibly also to countries outside the EU and EEA that have different data protection laws.

 

If the processing of your personal data requires its transfer outside the EU/EEA, we will ensure that the transfer takes place in a manner required by data protection law, for example by using the EU Commission’s standard contractual clauses.

HOW DO WE PROTECT YOUR PERSONAL DATA?
Personal data is processed in digital form and, if necessary, in paper form. Digital data is stored in a technically secure manner. Paper data is stored in a locked storage facility, which is accessible only to designated persons. Personal data is only accessible to those persons who need the information to perform their job duties.

• to request correction or completion of your data, if necessary

• to request and have your personal data removed from the register
• if you wish, we will provide you or another controller with your personal data as a csv file, provided that you have provided it to us
• to demand restriction of the processing of your personal data

 

You can exercise these rights by submitting your request to us by email: tero.pajunen@hyvinvointikyla.fi. We will verify the correctness of the request and will implement the action you have requested, unless we have a legal obligation that prevents the implementation of the request.

 

If you withdraw your consent, it will not affect the lawfulness of the processing of your personal data carried out before the withdrawal. You can withdraw your consent by email: tero.pajunen@hyvinvointikyla.fi.

You also always have the right to file a complaint with the Finnish Data Protection Commissioner or the supervisory authority of the European Union Member State where you reside or work, if you believe that we have not processed your personal data in accordance with applicable data protection legislation.

 

WHICH COUNTRY’S LAW APPLIES TO THE PROCESSING OF YOUR DATA?
The controller’s personal registers and the processing of the personal data contained therein are subject to Finnish law and EU law directly applicable in Finland, such as the EU General Data Protection Regulation.

 

HOW CAN WE UPDATE THIS PRIVACY POLICY?
We are constantly developing our business and this may also mean changes related to the processing of personal data. We will update this privacy policy as necessary to reflect changes in our practices. Changes may also be based on changes in legislation. We recommend that you review this privacy policy regularly.

 

If we start processing your personal data for a purpose other than that for which your personal data was collected, we will notify you of this and the updated privacy policy before such further processing. For other changes, we will inform you on our website about the update of this privacy policy.
